How do I import Third Party profiles using the Third Party Import Tool?
This article will explain the process that will import new, or update existing third party profiles into the Compliance and Risk Tracker portal.
While a user can manually enter all the data to get Third Parties into the CRT, this process takes much less time and those third parties can be easily updated in the future using this process. To start importing third party profiles one must download the latest import template from the CRT portal found here: Third-Party Risk Management > Third-Party Listing. Click the "Excel" button, and then click "Export Third-Parties". This will download a file containing ALL third party profiles currently residing within the system. From this file is where new third party profile data will be entered to be imported.
The import file as of 10/1/2022 contains the following fields, and then a descriptor of the field (fields denoted with an * are required):
- ID - Internal database identifier. Do not modify. This value is automatically generated when new third party profiles are imported.
- Third_Party_ID * - This is usually an internal identifier from the client. An account number, or other identifier unique to this third party.
- Third_Party_Name * - The name of the third party/vendor.
- Type * - There are multiple different "types" of third parties. Review the droplist in the CRT application for more information.
- Contact_First_Last_Name - The first and last name of the primary contact for this third party.
- Contact_Email - The email address of the primary contact for this third party.
- Contact_Phone - The phone number of the primary contact for this third party in the an open format. (xxx-xxx-xxxx, (xxx) xxx-xxxx, +1 (xxx) xxx-xxxx, etc.)
- Address - The street number and street name for where this third party is located.
- City - The city name for where this third party is located.
- State - The state for where this third party is located in an open format. (XX, Xxxxx, etc.)
- ZIP - The ZIP code for where this third party is located in an open format. (xxxxx, xxxxx-xxxx, etc.)
- Description - This field may be used for information how the client sees fit.
Now that the fields in the import are understood you can enter your data into the import file. Do not modify any existing data in the file if it exists - only add to it.
