How do I import custom responses to assessment practices/questions?

This article will explain the process that will import new, or update existing practice/question responses into the Compliance and Risk Tracker portal.

When adding new practices/questions to assessments a user may manually enter all the response data necessary. However, this process can get quite time consuming if multiple practices/questions are added at one time. By utilizing this import process it will take much less time, and those responses can even be updated in the future using this process. To start importing practice/question responses one must download the latest import template from the CRT portal found here: System Administration > Assessment Configuration > Practices. Click the "Excel" button, and then click "Export Practice Responses". This will download a file containing ALL responses currently residing within the system. From this file is where new response data will be entered to be imported.

The import file as of 10/1/2022 contains the following fields, and then a descriptor of the field (fields denoted with an * are required):

  • PracticeID * - Internal database identifier of the practice you wish to add these responses to. Do not modify this field with existing data. This value can be found as part of the practices export file.
  • Reference_Number - Unused.
  • Name * - The display name of the response answer.
  • DescriptionThis is the description of the response and is used as the help text when a user hovers over the response as part of an assessment.
  • SortOrder * - How the questions are ordered when displayed to the user. Also used as part of the Minimum Status calculations. The lower the sort order the higher in the list of items it will appear in a droplist. (For example, if you have three items in the droplist "A" = sort order of 1, "C" = sort order of 2, and "B" = sort order of 3 -- The list would show "A" as the first item in the list, then "C", and finally "B".)
  • Response_Weighting * - Used for some custom reporting calculations. A default value of 1 should be used if this is not used for your assessment type.
  • Color * - In a Hex value. (e.g. #000000) If you wish a particular color to be displayed for the response. If no particular color is desired enter #000000.
  • Is_Active * - Is this reponse active or inactive? 1 = Active, 0 = Inactive.
  • Full_Mature_Status - Is thisresponse considered "fully mature"? 1 = Yes, 0 = No.

Now that the fields in the import are understood you can enter your data into the import file, and import the response data.
